Getting Started Tutorial and FAQs

Step-by-step instructions:

1. Verify your name. If you are a coach evaluating anothoer play, you can change that here.

2. Optionally add your team name.

3. Select the coaching area of focus. The default is Batting. Additional focus ares such as Pitching are coming soon.

4. Select your desired output language. The Default is English.

5. Input your focus area or goal that you are working on. The more specific your request, the better the AI can give you feedback.

6. Click on Browse your device in order to select a video of you working on this skill. This is not a requirement, but the AI will actually analize both the visual aspects of the video frame-by-frame as well as any audio attached to the video. PDF files of performance statistics could also be uploaded instead.

7. Click on the “Provide Feeback” button and wait for the AI to evaluate the information provided.

Selected frames are displayed for visual feedback.

8. After the evaulation / feedback is displayed, you can listed to the verbal assessment by clicking on the “Speak” button below the coach. This feedbacck reinforces the written feedback but does not simply read it.

9. If there are videos configured in the system that match the skill you are focusing on (such as your stance), these will be displayed so you can get further information from the coaches on what they are talking about in the feedback section.

Files, Data, and Inputs

1. How can I upload more than one file?

Use the Persistent Files section under the Profile tab. Files uploaded there stay with you across all sessions and can be referenced anytime.

2. Can I upload images, screenshots, or photos?

Yes. Images are supported and can be used for visual analysis, examples, comparisons, or reference.

3. Can I upload spreadsheets, like a budget or planning document?

Yes. You can upload spreadsheets, including budgets, forecasts, schedules, pricing models, or planning worksheets. These are commonly used in business coaching, event planning, and financial discussions.

4. Can I upload video and audio files?

Yes. Video and audio can be uploaded for review, breakdown, feedback, and coaching.

5. What’s the difference between session files and persistent files?

Session files are tied to one session only. Persistent files live in your profile and are always available unless you delete them.

6. Can I reuse uploaded files later?

Yes. That’s the entire point of persistent files. Upload once, use many times.

TrackMan and External Data

7. Can I use TrackMan data with this program?

Yes. Upload it once under Profile → Persistent Files and reference it in future sessions.

8. Do I need a live TrackMan integration?

No. Uploading reports works extremely well and avoids integration headaches.

9. Can I upload multiple TrackMan reports over time?

Not yet for most users. Phase 1 supports uploads. Phase 2 introduces inbound APIs for automated data feeds.

10. Can other systems send data into the platform?

Phase 1 uses uploads. Phase 2 supports inbound APIs where external systems push data directly into sessions.

11. What makes this better than just using TrackMan, Strava, or other performance data?

Those applications give you metrics. Replicator Coach turns those metrics into coaching context, patterns, explanations, and next-step guidance that evolves over time.

Coaches and Personas

12. How do I pick a coach?

You select a coach from the coach selector. Each coach has a defined expertise, personality, and evaluation style.

13. Can I switch coaches later?

Yes. You are not locked into a single coach.

14. What are “coach personas”?

A coach persona represents a specific style of coaching, expertise, and mindset. Think skill-specific or philosophy-specific guidance.

15. Can a real human coach review my sessions?

Yes. Coaches can review sessions, add written feedback, and even voice feedback. This is a premium feature.

Metrics, Scores, and Report Cards

16. What metrics are measured?

Metrics depend on the coaching domain. Each skill area has its own metric set. For example:

  • Sports may include timing, balance, posture, mechanics

  • Business may include clarity, strategy, execution, leverage

  • Speaking may include pacing, structure, delivery, impact

17. Are metrics hard-coded?

No. Metrics are dynamic and defined per skill.

18. Where do the scores come from?

Scores are generated by the AI coach based on:

  • Uploaded files

  • Session inputs

  • Historical sessions

  • Skill-specific evaluation criteria

19. What is a Report Card?

A Report Card is a structured breakdown of your performance by metric, including scores and commentary.

20. Can Report Cards change over time?

Yes. They evolve as your inputs, skills, and sessions change.

Memory and Continuity

21. What does the system remember?

It remembers session history, uploaded files, past feedback, and patterns over time.

22. What is the “Ask My Past Self” button?

This button tells the AI to only look at your previous sessions, not generic advice. It answers questions like:

  • What did I do differently last time?

  • Where have I improved?

  • What mistakes do I keep repeating?

23. Why is that useful?

Because it turns the system into a mirror, not just an advisor.

Business Coaching and Non-Sports Use

24. Can this be used for business coaching?

Yes. Business coaching is one of the strongest use cases.

25. What kinds of business topics work well?

Strategy, pricing, budgets, planning, marketing, sales, leadership, speaking, operations, and decision-making.

26. Can I upload business plans and financials?

Yes. Business plans, budgets, spreadsheets, and planning docs are commonly used.

27. Can this totally replace a human business coach?

The platform is designed to complement human coaches and make them more scalable and consistent, not eliminate them.

Where the Answers Come From

28. Are answers generic AI responses?

No. Responses are grounded in:

  • Your uploaded data

  • Your session history

  • The selected coach persona

  • Skill-specific evaluation logic

29. Does the AI make things up?

No. It works only from provided inputs and defined coaching frameworks.

30. Can I challenge or question the feedback?

Yes. Follow-up chat is part of every session.

Sessions and Experience

31. What is a session?

A session is a single coaching interaction tied to inputs, feedback, and optional report cards.

32. Can I revisit old sessions?

Yes. Sessions are saved and searchable.

33. Can I filter or search sessions?

Yes. Sessions can be filtered by coach, date, or skill.

34. Can I hear feedback instead of reading it?

Yes. Audio playback is supported when enabled. This is based on your actual coach’s voice and personality.

What This Program Actually Is

35. Is this just ChatGPT with a wrapper?

No. This is a structured coaching system with memory, metrics, personas, report cards, and persistence.

36. What makes it different from generic AI tools?

Continuity, context, skill-specific metrics, coach personas, and evolving feedback over time.

37. Who is this best for?

People who want improvement over time, not one-off answers.

Specifically for Coaches

1. What is this platform, from a coach’s point of view?

This is a way to scale your coaching brain. The system captures how you evaluate, what you look for, how you explain things, and how you guide clients over time.

2. Is this meant to replace me as a coach?

No. It removes repetition and low-value work so you can focus on higher-impact coaching.

3. Who is actually giving the feedback, me or the AI?

Both. The AI handles first-pass analysis and consistency. You step in where nuance, judgment, or human context matters.

4. What is a coach persona?

A coach persona defines your coaching style, tone, expertise, and evaluation framework. It’s not just a name, it’s how you think.

5. Can I have more than one persona?

Yes. Many coaches create different personas for different skills, levels, or coaching philosophies. A baseball coach for example might have one persona for batting, one for pitching, and one for fielding. A golf coach might have one for driving, one for obstacles, and one for putting. The system is designed to be flexible.

6. Can I review past sessions?

Yes. You can see a client’s full coaching history. Then, you can add your own commentary, including vocal feedbacck, that become part of the user’s history.

7. Can the AI go outside my coaching philosophy?

No. It is constrained to your defined approach. Guardrails are part of persona and skill setup to prevent it from answering certain things (or forcing it to answer in a certain way based on your expertise).

8. How does this help me scale?

One coach can now serve far more clients without sacrificing quality. Subscription access, hybrid coaching, group programs, sponsorhsips, tiered reviews and other premium features can all generate new revenue opportunities. Your coaching expertise becomes an asset, not just your time.

9. Can I still do live coaching?

Absolutely. This enhances live coaching rather than replacing it.

10. How are the "prompts" actually created?

There is no single monolithic “prompt file”. Instead, the final prompt is composed step-by-step from multiple sources and then sent to OpenAI as a single request.

At a high level, the flow is:

  1. Identify which OpenAI Assistant ID to use

  2. Gather contextual text inputs

  3. Append user-provided content

  4. Attach files (both session uploads and persistent files)

  5. Send everything to OpenAI in one request

Order and role determine influence, not numeric weighting.

Below is the effective hierarchy as implemented today.

1️⃣ OpenAI Assistant (highest structural authority)

The selected Assistant ID is loaded first. This assistant already has:

  • Its own system instructions

  • Its own training context

  • Any files previously uploaded directly to the assistant in OpenAI

This assistant defines the baseline behavior of the model.

Important point:
If the assistant instructions say “You are a strict golf coach,” everything else is interpreted through that lens.

This is the closest thing you currently have to a “hard weight.”

2️⃣ Coach personality (admin settings)

Next, the coach personality text from admin settings is injected into the prompt.

This typically includes:

  • Tone

  • Coaching style

  • Perspective

  • Domain framing

This content is appended as instructional text, usually as part of the system or pre-user message.

Impact:

  • Strong influence on voice and framing

  • Cannot override assistant instructions

  • Can be diluted if very long or vague

3️⃣ Metrics definitions (skill-specific schema)

Metrics definitions are injected after personality and before user input.

Examples:

  • Batting timing definitions

  • Golf swing metrics

  • Speaking cadence, clarity, confidence

These act as reference constraints, not commands.

Impact:

  • The model uses these as evaluation criteria

  • They guide analysis but do not force outcomes

  • If they conflict with assistant instructions, assistant wins

4️⃣ Session prompt (user intent framing)

This is the explicit session instruction such as:

  • “Analyze my swing”

  • “Evaluate this speech”

  • “Give me feedback focusing on timing”

This is usually appended just before user content.

Impact:

  • Strong directional signal

  • Overrides general assistant tendencies

  • Does NOT override safety or system-level instructions

This is the most powerful user-controlled input.

5️⃣ User uploads (session files)

Files uploaded during the session are attached to the request.

This includes:

  • Video

  • Audio

  • PDFs

  • CSVs

  • Images

OpenAI treats these as primary evidence, not instructions.

Impact:

  • High factual influence

  • Low stylistic influence

  • The model reasons from these, not because of them

6️⃣ Persistent uploaded files (profile tab)

Persistent files are also attached, but typically after session uploads.

These are treated as:

  • Background knowledge

  • Long-term context

  • Reference material

Impact:

  • Weaker than session uploads

  • Can be ignored if not obviously relevant

  • Competes with token limits

7️⃣ Follow-up chat history (if applicable)

In follow-up chats, previous messages are appended as conversation history.

Impact:

  • Medium influence

  • Decays as conversation grows

  • Can create drift if not periodically anchored
